Welcome to Montra! By using our platform, you agree to this Privacy Policy.
1. Information We Collect
We collect the following types of information:
a. Information You Provide Directly
- Account details: name, email address, and password.
- Content: the screen recordings and microphone audio you capture, the screenshots and frames extracted from them, your annotations, the transcripts produced from your audio, and the documents, tickets, and text you create or edit in Montra.
- Communications: support requests, feedback, and correspondence.
- Billing: payment information, processed securely by Stripe. Montra does not store your card details.
b. Information We Collect Automatically
When you record with the Montra desktop app, it captures the display you select and, if you enable it, your microphone. To give the AI enough context to describe what you were pointing at, a recording session also captures the titles of the windows and applications on screen, the addresses of pages open in your browser, and where you clicked. macOS will ask you to grant Screen Recording, Microphone, and Accessibility permission before any of this can be captured, and you can revoke those permissions at any time in System Settings.
Across the desktop app and the website we also collect:
- Usage Data: page visits, features used, and time spent on the platform.
- Log Data: IP address, browser type, timestamps, and referring/exit pages.
- Device Data: device type, OS version, screen resolution, and language settings.
- Cookies & Tracking: we use cookies and similar technologies (e.g., local storage, session tokens) for analytics, personalization, and service delivery.
c. Information from Third Parties
If you sign in with Google, we receive your basic profile information from Google. If you connect Linear or Notion to export your tickets, we receive the account and workspace information those services return so we can send your export to the right place.
To produce your results, we send your recordings, audio, screenshots, and transcripts to the transcription and AI model providers listed in section 4. They process this content to return transcripts, documents, and tickets to you. Montra does not use your recordings, transcripts, or documents to train AI models. We do not control how each provider operates its own systems; where a provider offers terms or settings that limit retention and model training, we pursue them.
2. How We Use Your Information
We use your information to:
- Provide, operate, and maintain the Services.
- Transcribe your recordings and generate documents and tickets from them.
- Share your documents with the people and agents you choose to share them with.
- Improve product performance and user experience.
- Send administrative messages and respond to customer support inquiries.
- Enforce our Terms of Service and monitor for abuse or misuse.
- Comply with legal obligations and resolve disputes.
We may analyze aggregated, de-identified usage data to understand how the product is used and where to improve it. We do not use your content to train AI models.
3. Sharing of Information
We do not sell your personal data. However, we may share information as follows:
- Service Providers: with trusted vendors who support our operations (e.g., cloud hosting and storage, speech-to-text, AI model providers, payment processing, analytics, error monitoring, email delivery). These providers may access personal data only to perform tasks on our behalf and are bound by confidentiality obligations.
- People and agents you share with:when you share a document, the people you invite can see its contents. If you enable a share link, anyone with that link can view the document, including its recording, screenshots, transcript, and tickets. Agent links additionally expose a machine-readable copy to whoever holds the link, and expire automatically. You can change a document’s access or revoke a link at any time.
- Legal Compliance: when required by law, subpoena, or legal process; or to protect the rights, safety, and property of Montra, our users, or others.
- Business Transfers: in connection with a merger, sale, or acquisition, your data may be transferred as part of that transaction.
4. Third-Party Services and AI Models
- Supabase (database, authentication, and storage): stores your account, workspaces, documents, tickets, transcripts, and uploaded media.
- Google Cloud (storage, video processing, and AI models): stores and processes your screen recordings, and analyzes them to generate documents and tickets.
- Deepgram (speech-to-text): receives your microphone audio to produce transcripts of what you said while recording.
- Stripe (payments): processes subscriptions and purchases.
- PostHog (product analytics): records feature usage and product events. Session replay is not enabled.
- Sentry (error monitoring): receives crash and error reports, including your account identifier and email, so we can diagnose problems.
- Linear and Notion(exports): receive a ticket’s title, body, and any attached screenshots — only when you connect the integration and export to it.
We also use additional AI model providers for capacity and routing, an email provider for transactional messages such as invitations, and a hosting provider for our website and API.
In all cases, we take reasonable measures to ensure that these providers maintain industry-standard data protection and confidentiality obligations.
We implement reasonable administrative, technical, and physical safeguards to protect your data; however, no online service is completely secure.
5. Data Retention
We retain your personal data only as long as necessary to:
- Provide you with the Services;
- Comply with legal obligations;
- Resolve disputes and enforce our agreements.
Recordings you capture are also kept on your Mac and remain there until you delete them. Temporary frames captured during a recording session are removed automatically shortly after capture. When you delete a document or recording, we mark it deleted immediately and remove the underlying files in a subsequent cleanup.
If you delete your account or request erasure, we will delete your data unless retention is required by law.
6. Your Rights and Choices
Depending on your jurisdiction (e.g., GDPR, CCPA), you may have the right to:
- Access the personal data we hold about you;
- Correct or update inaccurate information;
- Request deletion of your data;
- Object to or restrict how we process your data;
- Withdraw consent where processing is based on consent;
- Request a copy of your data in a portable format.

7. International Transfers
Our Services are hosted in Canada and the United States, and the cloud, speech-to-text, and AI model providers we rely on process data in the United States. If you access the Services from outside these regions, your data may be transferred to and processed in jurisdictions that may not offer the same level of data protection. By using Montra, you consent to this transfer.
8. Children’s Privacy
Montra is not intended for anyone under 16, or under the minimum age of digital consent in their jurisdiction. We do not knowingly collect personal information from minors.
9. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes via email or in-app notifications.
